Hartford Faculty Scholars Program in Geriatric Social Work

Frequently Asked Questions regarding Hartford/VA Scholar applications

How do I apply for the program? VA employees stating interest in the Hartford Program and in pursuing application to the Hartford Scholars Program must receive approval of eligibility from VA Office of Academic Affiliations (OAA). Materials must be submitted to OAA no later than October 1st. To read more about this process refer to the Hartford/VA Scholar application form.

How should I format my application? All applications must be converted to PDF format and scanned to a (1) compact disk (CD). To have your application converted to PDF and scanned to a CD, we recommend that you use your institution's business center, your nearest Kinko's, or any printing & graphics company which provides scanning and conversions services. If you encounter any difficulties, please email Julia Meashey, at jmeashey@geron.org. Applications that are submitted but are not in PDF file and burned onto a CD will not be reviewed. Follow the instructions on the last page of the Hartford/VA application form for mailing instructions.

Where do I send my application once it is complete? Please mail one single sided, original paper application, as well as an entire application in (1) PDF file on a (1) Compact Disk (CD) to The Gerontological Society of America, 1220 L Street, NW, Suite 901, Washington, DC 20005-4018, ATTN: Hartford Faculty Scholars Program.

Does my application need to be postmarked by the due date or received by the due date? Your application must be delivered to the GSA offices no later than Feb. 1st.

What type of binding is required for the hard copy? You will meet the binding requirement as long as the application materials are held together (no loose paper). Most people use a large binder clip or report holder.

Can I re-apply if my application is not accepted? Yes, applicants may re-apply to the program. Applicants must resubmit a new application that incorporates any changes requested by the reviewers, and includes a supplemental sheet of 2-3 pages that speaks to how he/she has addressed the specific critiques of the reviewers.

Will my re-submitted application be reviewed by the same reviewers from the first time? When possible, the same reviewers are assigned.

Do I need Human Subjects approval at the time of my application? Human Subjects approval at the time of your application is not needed. However, prior to any human subjects involvement by your research study,  human subjects approval is required as per the VA Human Subjects requirements and procedures.

What is expected of the Local VA Mentor? The Local VA Mentor must be able to assist the applicant as a role model. He or she must be able to guide the applicant's professional development and help the individual connect with other gerontologists at the VA or other VA staff who could help facilitate the implementation of the study at the VA. As the application states, the Local VA Mentor is not required to be a gerontologist his/herself.

Additionally, the Local VA Mentor must be able to intervene in the applicant's institution if an issue arises related to time needed to accomplish the demands of the Hartford Program. The Local VA Mentor letter should speak very clearly regarding the applicant's professional development.
